Generally, a purchase journey will begin with your request for quotation to a supplier. Upon the request, you'll receive a quotation based on your request. Once you are happy or satisfied with the costing, you are then required to issue a purchase order. Once you've received the invoice from your supplier, you can finally prepare your bill and follow up with the payment after.
Note: There may be some slight difference in procedure for some businesses.
Now that you've grasped the process flow, the following section will show you how easy it is to prepare and send the various documents to your customer on Financio:
Purchase Documents:
- Purchase Order
- Bill

Purchase Order
- Click on Purchases
- Click on + button on the bottom right
- Select the Purchase Order button above it
- Provide the details
- Supplier*
- Attention: The person you wish to address to in the organisation o Select Address (or update manually below)
- Date *
- Delivery Date: Specify a date for delivery
- Quote No. *: Auto-generated form no. that can be overridden
- Reference
- Currency *
- Exchange Rate *
Note: Rate is retrieved from our partner on daily basis, required when the foreign currency is selected. - Toggle Amounts Exclusive / Inclusive of Tax
- Items *
- Select a predefined Product for repeated purchase or Account / Category for one-off transactions *
- Name *
- Description
- Quantity *
Note: Supports up to 4 decimal points. §§ Unit Price * - Discount
Note: Support value (eg. 50) or percentage (eg. 2%). - Tax Code
- Summary
- Attach files
- Save
- Click Save as Draft for further revision
- Click Save & Approve to post the transaction to Chart of Accounts and share with the receiving party via E-Transaction or Financio Connect (Where applicable)
- Attach files
Bill
- Click on Purchases
- Click on + button on the bottom right
- Select the Bill button above it
Alternatively,
- Click Copy to Bill directly from your issued Purchase Order
- Provide the details
- Supplier*

- Full amount is not necessary should it be a progressive payment.
- Tick the related bills the payment is issued for

- Save
- Click Save as Draft for further revision
- Click Save & Approve to post the transaction to Chart of Accounts and share with the receiving party via E-Transaction or Financio Connect (Where applicable)
